DESCRIPTION

The project started at one of the defining players in the steel industry in Hungary, which has been a stable presence in the market for decades, with a group of companies and an extensive sales network. One of the strongest pillars of the company's operation is active sales, during which the team is constantly seeking new partners, building relationships, and sending personalised offers to relevant industry players. Management recognised that a significant portion of the sales processes consists of repetitive, time-consuming tasks that could be automated - particularly in the areas of data collection, outreach, and writing personalised emails. Therefore, they invited us to examine how to modernise and scale the sales processes within the framework of AI Office. As a result of our collaboration, by the end of the first day, a functioning AI sales agent was developed, capable of identifying relevant business contacts on behalf of the company, automatically reaching out to them, and writing personalised letters in a quality that was previously only attainable manually.

PROBLEM

The company's sales team spent a huge amount of time daily searching for potential clients, verifying data, updating lists, and drafting personalised emails. These tasks were extremely important from a strategic standpoint, but they placed a significant manual burden on employees, who could thus devote less time to real value-creating activities — negotiations, proposal development, and building partnerships. Within the group of companies, several firms dealt with sales, but each tried to solve lead generation and customer outreach separately within their own systems. At one point, management recognised that this model was not scalable in the long run, as true growth would require more than just hiring additional people: an automated system was needed that could continuously and in large volumes generate relevant outreach without placing extra burden on the team. The problem was exacerbated by the fact that the steel industry market is extremely competitive, where quick response and proper relationship building can often be a decisive factor. The company had an urgent need for a solution that would both enhance the efficiency of the sales team and improve the quality of relationship-building processes.

SOLUTION

DetSystems AI Office began its collaboration, with the goal of having a functioning AI agent ready by the end of the first day, capable of independently carrying out the most time-consuming stages of the sales process. During the development, we mapped out the typical sales processes of the company, reviewed the current outreach methods, and based on this, we started building the first prototype of the AI sales agent. By the end of the day, a system was created that was able to find relevant companies from various data sources, analyze their profiles, highlight potential connection points, and then based on these, formulate personalised, authentically toned letters. The system did not work from templates but generated unique, context-dependent messages for each recipient that matched the company's communication style and sales objectives.

The solution proved to be so successful that the company immediately recognized that it wanted to use this system not just in one, but in all of its sales-oriented companies. In the following weeks, we duplicated the prototype and modified it with company-specific adjustments, so that each affected enterprise within the group received its own AI sales agent optimised for its industry and customer base. During the system's design, we paid special attention to ensuring that the letters were truly personalised, and that the AI provided not just technical automation but also sales intelligence. The result was an autonomous system capable of finding new connections without human intervention, addressing them appropriately, and forwarding the correspondence to the sales team, who then only dealt with the warmed leads.

RESULT

The outcome of the project has had an exceptionally strong impact on the company's entire sales operation. With the implementation of the system, the company has been able to initiate a large number of contact attempts representing real business value every day without the need to involve human resources. In many cases, the quality of the emails written by the sales agents surpassed that of manually crafted messages, as the AI was able to analyse the background of the target companies in minutes and thus engage in truly personalised communication. According to internal feedback, a significant portion of the sales team's working hours has been freed up, allowing them to devote more time to negotiations and deepening customer relationships. After the introduction of the AI agent, every company in the group has been able to operate with the same level of efficiency, resulting in a consistent, high-quality sales standard across the entire organisation.

The long-term impact of the project is reflected in the fact that the company's sales are no longer constrained by human capacity limitations but have become scalable. The company now uses an autonomous system that can generate new business opportunities on a daily basis, while the knowledge gained during the AI Office ensures that leaders and staff understand the system's operation and its possibilities.
